  • The first step on your project management journey is to understand what "Quality" means in your organization. In this book, I will not cover Quality methodology. That in itself is another book.
  • The next step is to use a project management process to help Define, Plan, Design, and Execute the deliverables that will make up final products and services your are trying to create
  • Intertwined with each project management step there is a team building step. The project engine is the individuals that make up the project team. Tasks cannot get done without people.

 

PROJECT MANAGEMENT PROCESS
DEFINE

This phase guides you through the project infancy. How a project is born (from the idea to actual funding), assembling the team, creating a common language among the team, creating the team charter, defining the voice of the customers, and understanding what the customer wants.

This phase is one of the most important as it determines what gets produced during the next phases. "The seeds of a project's success or failure are shown at its very beginning" (Keane). If the project team has the wrong idea about the product, the final deliverable will not meet the customers expectations.

Estimating what the customer wants is not good enugh. Project Managers need to be certain of the customers expectations.

PLAN

To plan is to detail each of the detail tasks that need to be accomplish during the execution. Planning is knowing:

  • What needs to get done
  • When it needs to be done by
  • Who needs to to the job
  • What other tasks are affected

Planning is a group activity performed by the team, not by an individual.

DESIGN
During this phase the project management team will create a prototype of the product to get customer or stakeholders agreement. Civil engineering views the design phase as a very critical period. Any mistakes or missed requirements caught during the control phase are disastrous to the project. Imagine you are building a 12 story building and after the end of the construction the customer tells you that the windows should have been facing the other way. In order to fix the problem you need to destroy the building and start from zero. If this problem would have been caught during the design phase it would have taken 2 minutes to fix on the design model.
EXECUTE
Execute phase is completing the different tasks of the plan. During this time, the most critical factors are time and proper completion of the tasks. A lot of projects fail during this phase because of the lack of motivation or planning.
CONTROL
You have completed your plan. You have a product and you are ready to hand off the product to the customer or the stakeholders who own and will maintain the product you and the team have created. During this phase we will talk about the proper hand off to a secondary team, training the new users and making sure everyone understands how to support and maintain the quality of the product.

 

ALL ONE TEAM (BUILDING A SUCCESSFUL TEAM)
BUILD ENTHUSIASM
So, have been showsen to participate on this project as the project manager. You will be responsible of managing a team of 15 people through out the project completion. What makes you think that everyone is going to do what you ask. During this phase you will learn how to motivate the team to work together to make them feel the project is theirs. Teach you how to make the project fun and interesting to the team.
BUILD ACCOUNTABILITY
Accountability is to make the team feel responsible for their tasks. The perfect time to build this feeling is during the planning phase. Remember, planning is a group activity not an individual task.
BELIEVE

Here you put all your plan in to play by simulating the end product. Simulation will give the team faith that the goal is obtainable and it will give then a clear picture of what the customer really wants

ENERGY
The last couple of miles of the race feel the most far away than the run miles. During the execution of the plan the team tends to loose the energy and motivation again during Define and Design. During execute you need to energize the team, just like on Define.
BOOST ESTEEM
During this phase the team is tiered after a long journey. It is time for recognition and to evaluate how well the team work and the lessons learned during the journey. These lessons should be passed on to the next team
